Our campus license for ZOOM Pro user accounts are going away on August 17, 2026

What this means for you:

If you currently use Zoom to schedule and conduct online meetings, you will need to switch to Google Meet. Meet is available in your web browser and in apps on Android and iOS devices. You can start a new meeting by visiting meet.google.com, or schedule one using the "Add video conferencing" button in Google Calendar. 

Existing meetings with Zoom scheduled after August 17th will need to be revised or replaced with meetings that use Google Meet.

How to create Google Meetings-

Go meet.google.com and clicking on new, then selecting "Create a meeting for later" 
Then copy the link and saving it somewhere (Notes or a Google Keep) Then cut and paste the link to use whenever you want. 
Then put the link in the calendar invite, don't put it where it says Google Meet, because once you click on that it will create a brand new one. Puts the recurring link in the Location section of the Google Calendar invite.

Frequently Asked Questions

Can I still use Zoom?
You can continue to use Zoom but it will be under the Basic plan. That limits you to 40 minutes per meeting, no cloud recording, caps at 100 participants, no co-hosts, no polls/quizzes and no AI Companion 

What about my Zoom Cloud recordings?
All of your Zoom recordings were simultaneously saved in our video repository, Kaltura. You can access Kaltura here.  Sign in using your Drew login info. 

Will my Google Meet recordings also go into Kaltura? 
No, at this time Kaltura does not have a Google Meet connector. Google Meet recordings will be available in the Host's Google Drive. 

Can I record locally in Google Meet? 
No, all Google Meet recordings go into the host's Google Drive account. There is no local recording option. 

Can I invite outside attendees to Google Meets? 
Yes, by default you will need to admit each outside attendee, but you can change the meeting access to "Open" in meeting preferences. Attendees are not required to have a Gmail or Google workspace account. 

How do I let people into my meeting if they have asked to join? 
Click the "People" icon in the top right hand corner of the screen. If someone is waiting to join the call, you'll see "Waiting to be admitted"

Can I use Google Meet for large meetings and Webinars? 
Yes, with our Education Plus account, Google Meet can host up to 1000 participants. If you are holding a webinar you may wish to set the "Everyone is viewer by default" option in the Video Call options. 

Can multiple people share screens at the same time as they can in Zoom? 
No, Google Meet only allows one person to share at a time. A user must stop presenting before another can start.

How do I control who has access to my Google Meet link? 
When you schedule your Google Meet, click on the gear next to the Google Meet link in the invite. Under Host Controls, scroll down until you see Meeting Access type. You will see Open, Trusted and Restricted.

Can I create recurring meetings with Google Meet? 

For regular team meetings or check-ins, setting up recurring Google Meet sessions saves time and ensures consistency:

  1. Open Google Calendar
  2. Create a new event with Google Meet video conferencing
  3. Under the date and time options, click "Does not repeat"
  4. Select your preferred recurrence pattern:
    • Daily
    • Weekly
    • Monthly
    • Yearly
    • Custom (for more specific patterns)
  5. Choose when the recurrence should end (if applicable)
  6. Add participants and other details
  7. Click "Save"

Each occurrence will have the same Google Meet link, making it easy for participants to join without needing new invitations each time.
